We've gathered key resources to support chapter and region leaders in planning, organizing, and growing strong, connected communities.
- Microsoft 365
Provides access to an Outlook email account, OneDrive, Teams, and the Office suite to assist chapters in coordinating chapter activities. Chapter leaders will share a single account for these tools to communicate with members. Chapter microsites (on tei.org) will display the chapter's email address. The current chapter board should provide the login credentials to incoming officers.
- Zoom
Host virtual chapter webinars and meetings, with support for up to 300 participants in meetings and up to 1,000 participants in webinars.
- Billhighway & Memberplanet / Chapter Hub Login
Primarily accessed by Presidents and Treasurers. Create free and paid events with separate pricing for members and non-members. Set up season passes, access chapter rebates, and transfer funds to local bank accounts, and more.
- Chapter Portal
Streamlines chapter management by allowing leaders to create events, manage registrations, and access member rosters. Events post directly to TEI.org and include features for creating season passes.
- Chapter Rosters
The Chapter Leader group on TEI Engage includes a monthly roster of all TEI members, sorted by chapter. In addition, a list of new and rejoining members is shared directly with chapters via email each week. For real-time access, leaders can visit the chapter section found in TEI profiles.

Communicate with your entire chapter through posts, create and promote events, and upload resources such as meeting presentations and CPE certificates.
- Chapter Board Group
A dedicated space to communicate with your board, plan meetings, and store resources like meeting minutes. Boards may also choose to use Microsoft 365 for this purpose.

- End of Year Financials
At the close of the chapter year, chapter treasurers and regional vice presidents shall submit an annual financial report, as of June 30. The following list includes key documents:
- Annual 1099 Form
If a chapter or region pays an individual more than $600 in a calendar year, a completed Form W-9 (including a valid Social Security number) must be obtained from the payee. The form, along with payment details, should be submitted to TEI’s Governance & Operations Team by January 15 of the following year.

- Matching Funds for Chapter Scholarships
Chapters are encouraged to establish a scholarship program to award annual scholarship grants. As part of the Institute’s Social Responsibility Plan, TEI’s Board of Directors has created a “matching funds” program for chapters to encourage the expansion of the Chapter Scholarship Program.

TEI’s brand guide serves as a central resource for our messaging, visual identity, and design standards across both print and digital platforms.
- Chapter Logos and Banners
For use on TEI Engage, social media, and Memberplanet. These materials can be found under the Resources tab in your chapter’s board group on TEI Engage.
- Chapter Leadership Portal (VIDEO)
The Chapter Leadership Portal enables chapter leaders to enter and submit their incoming slate of officers to the Institute. The submission period opens each January and closes on March 31.
- Chapter President’s Award and Pins
Chapters can recognize their outgoing presidents by ordering the Chapter President Award at no cost. Please submit the recipient’s name, term of service, and best shipping address. Chapters may also purchase a President’s Pin for $100.
Both requests can be submitted to memberinfo@tei.org. Please allow up to 40 days for fulfillment and delivery. - TEI Meritorious Service Chapter Award
This award recognizes outstanding service to TEI at the chapter level in the areas of advocacy, education, networking, or association management. It serves to express the Institute’s appreciation for exceptional contributions that support TEI’s mission.
Each chapter is eligible to receive one complimentary award per year. The recipient is selected at the discretion of the chapter and must be approved by its board of directors.
Nominations must be submitted using the submission form and include a detailed description of the recipient’s contributions, in accordance with the guidelines outlined in the Meritorious Chapter Service Award section of the MOP. Chapters are limited to one nomination per year.
- Chapter Representative Terms
Each chapter has the right, once every two years, to elect a chapter representative who serves as a director on the Board for a two-year term. Chapter representatives’ office terms are staggered so the number of directors elected from the chapters each year is one-half of chapters of the Institute.
